Even when not a customer of one of our services, you may also interact with our company by accessing our website, sending or receiving an email, or engaging in a vendor or partner relationship.
Information BeyondPay collects
We collect, process and/or store personally identifiable data (“Personal Information”) from you and a number of sources, primarily to provide products and services to our customers and to improve those products and services.
If we send you an email, we will monitor your behavior such as if you read the email, click on a link, or end up navigating to various pages on our website.
We also may obtain such information by recording how you use our products, for example through error reports or other usage data. When you visit our website, certain Personal Information may be collected by recording how you interact with that Site via cookies or web beacons.
BeyondPay also processes data provided by its customers containing Personal Information for use with our products and services. Customers may send spreadsheets, reports, pdf’s and other data to BeyondPay utilizing various applications for transmission. We may also download this information from Kronos Workforce Ready to use while servicing your account for our various services offered.
The customer may also store and control Personal Information inside the Kronos Workforce Ready Application or its related Marketplace Add-ons. This data is under the control of the customer. BeyondPay and/or its partners and affiliates may also store this Personal Information and include such data as needed for backup, audit change records, and error logging.
We also collect Personal Information from BeyondPay job applicants and our employees for the purposes of conducting our human resources responsibilities, such as hiring and conducting employee performance evaluations, administering payroll and benefits (and related record keeping), filing government reports, company network management and authentication, security, emergency notification management and employee health and safety.
We may contract with customers to transmit data to third party organizations through various data and service integrations, such as custom Google Cloud web development projects, Retirement Plan Submission services, or integrations with benefits brokers or benefit administration systems.
We also collect Personal Information from vendors and other partners.
Why BeyondPay collects data
BeyondPay uses the information we collect for the following purposes:
Provide Our Services
We use your information to provide you with the best customer experience possible. Most of the data stored is controlled by you in order to deliver our applications, such as the applicant tracking, HR, Time & Labor Management, Payroll & Tax Filing, onboarding, and reporting. We also use your data to remit tax payments and returns to the necessary government agencies. Data may be stored on your hardware devices such as time clocks to identify users when clocking in and out. This information is stored and processed through Kronos (https://www.kronos.com/security).
Our support team also uses Personal Information to help troubleshoot the applications or provide additional products and services. We may facilitate transmissions of information to your other partners such as retirement plan providers. We may also establish data integrations through SOAP or REST based API’s. We will often collect data to facilitate manipulation and import of data into our application.
Communicate with you
We also use Personal Information to store contact information and preferences about the Authorized Payroll Contacts that are authorized by your organization to speak with BeyondPay employees about your customer account. We may store this information in Customer Relationship Management software to help track your account and service your account. We will use this to send relevant information about your account and news we think important and relevant to you such as industry, laws, release notes, and best practices.
You may opt-out of these communications, though for customers, we reserve the right to contact you with information regarding your account.
If you contact BeyondPay, we will keep a record of your request to help solve any issues you might be facing and for quality training purposes within our organization.
Protect BeyondPay, our customers, and partners
We use information to help improve the safety and reliability of our services. This includes detecting, preventing, and responding to fraud, abuse, security risks, and technical issues that could harm BeyondPay, our users, or the public.
We share your information at times with third parties to help identify fraud, such as identifying duplicate direct deposits.
Sales & Marketing
We also store Personal Information on customers and prospects that access our systems for use in Sales & Marketing. This information is used to identify products and services you are using or might be interested in using.
We also use first-party and third-party cookies in online advertising efforts. When you visit a website, third parties may set cookies on your computer and use those cookies to collect information about you, including about your computer and how you use their website. These parties use such information to personalize and deliver targeted advertising to you on non-BeyondPay websites. For additional information about online behavioral advertising, visit the websites of the Network Advertising Initiative and the Digital Advertising Alliance. If you would like to prevent third parties from setting and accessing cookies and similar technologies on your computer for advertising and other purposes, you can configure your browser to manage or block cookies and those technologies.
Finally, in an ongoing effort to better understand and serve all users of BeyondPay services, we may conduct research on user demographics and interests based on the Personal Information and other information provided to us. This research may be compiled and analyzed on an aggregate basis, and we may share this aggregated data with our affiliates, agents and business partners. This aggregate information does not identify you personally.
What BeyondPay does not do with your data
BeyondPay will not sell your Personal Information to a third party, nor trade your Personal Information in exchange for products or services. Your information will only be used for the purposes listed above.
Your privacy controls
First of all, many emails we send you contain a link that allows you to manage your communication preferences or to unsubscribe from future email communications.
You may also log in to our Help Desk at https://support.beyondpay.com and update your profile here with your basic employee information. This also allows access to a record of all communications you’ve had with our support team.
When you access the Kronos Workforce Ready application, you have full control over the data in the system, as well as permissions to give other users access to said data.
If you are a customer or a previously terminated customer, you may not opt-out of receiving future communications as they relate to account-related requests. You may opt-out and unsubscribe of any marketing, sales or general service updates.
Sharing your information
BeyondPay will only share your information with third parties when necessary to perform business functions. We evaluate every third party we share info with and verify they maintain or exceed industry standard privacy and data security practices. We only share the minimum amount of information necessary, and utilize encrypted forms of transmission at all times.
We may disclose your Personal Data if required to do so by law or in the good faith belief that such action is necessary to (i) comply with a legal obligation, (ii) protect and defend our rights or property, (iii) act in urgent circumstances to protect the personal safety of users of a Site or the public, or (iv) protect against legal liability.
Keeping your information secure
Your Personal Information is strongly protected by a combination of built-in and process-driven security features. BeyondPay and our business partners work hard to protect you from unauthorized access, alteration, disclosure, or destruction of information we hold, including:
- We use encryption to keep your data private while in transit (Do not email us any Personal Information or Sensitive Information!)
- We enforce Multi-Factor Authentication on all users to access Kronos Workforce Ready
- We enforce BeyondPay employees to utilize Multi-Factor Authentication to access company resources.
- We review our information collection, storage, and processing practices, including physical security measures, to prevent unauthorized access to our systems.
- We limit access to your data to users who need that data in order to process it, while maintaining strict confidentiality obligations that may result in discipline or termination for failure to meet these obligations.
- We have an independent organization review our internal controls annually.
Exporting & deleting your information
You can request an export of your data any time by emailing firstname.lastname@example.org. We will provide steps on how to receive data, and which forms of data are available.
You may request to delete your information any time by emailing email@example.com. Marketing & Sales Data will be deleted promptly upon request. Customer Service data may be deleted upon review and certain circumstances. Customer data as relates to our payroll and tax filing services generally may not be deleted unless meeting certain requirements and conditions.
Compliance & cooperation with regulators
BeyondPay reviews this policy on a regular basis to make sure we are processing your data in a responsible way that complies with regulations under our jurisdiction and often under our clients’ jurisdictions.
